Job Title: Workspace Logistics Coordinator

Reporting Line: Head of Workspace Management Department

Role Overview/Purpose:

The Workspace Logistics Coordinator handles day-to-day CRE logistics and supports infrastructure tasks and projects.  We are looking for a Workspace Logistics Coordinator to help run Real Estate management processes and tasks efficiently and according to safety guidelines. Workspace Logistics Coordinator plans, supervises and controls workspace related logistics, warehouse and transportation services, supports all supply chain procedures, from planning and coordinating daily shipments and deliveries to managing shipping documentation, when necessary, to ensure that all items are handled as scheduled, safely and within budget. Workspace Logistics Coordinator verifies products and supplies on orders, helps organize our storage areas and maintain our inventory. The goal is to ensure our operations have always an adequate flow of the products and to have all related processes running smoothly in our company. 

Role Responsibilities:

Support with organizing and managing workspace-related logistic and supply chain operations within the Division;

Direct, optimize, and coordinate full order cycle;
Plan shipments and deliveries (both local and international) based on product availability and employees’ requests;
Check and track tasks on relevant software to ensure timely deliveries and that all ordered products meet quality standards;
Collaborate with Procurement staff to list expected deliveries; 
Receive shipments and sign paperwork upon receipt;
Track orders using functional systems (e.g. item codes and tracking software);
Provide information to employees about the status of their orders; 
Schedule daily and weekly transportation of products and monitor and report its cost always suggesting the most cost-effective methods;
Support company owned/used vehicle technical service maintenance, keep relevant records and documentation;
Oversee the levels of our warehouse stock and place orders as needed communicating any shortages;
Ensure availability of material during emergencies;
Keep detailed records on procurement activity, materials quantity, specifications, etc.
Checking contents of packages and items, to ensure they match the orders, when needed, and deliver them to the storage area/warehouse;
Inspect contents to ensure they are undamaged and verify packages according to order and invoices (quantity, price, etc.);
Contact supplier or shipper if a mistake is identified;
Ensure invoices are signed and paid for satisfactory deliveries;
Support delivery and arrangement of office furniture from the warehouse and back based on specific projects planning, events, etc.;
Provide full support (within competencies) with workspace-related tasks for company-organized events;
Re-stock inventory manually or with warehouse equipment, where possible;
Coordinate with workers to ensure proper storage and distribution of products;
Maintain accurate records and assisted in the inventory process;
Stay up-to-date with health and safety regulations;
Coordinate with the company’s different products and service suppliers to ensure proper, effective, and timely service provision.

Requirements and skills:

Work experience as a Logistics Manager, Coordinator or similar role;
Knowledge of transportation management processes and systems;
Knowledge of supply chain and inventory management systems;
Knowledge of English is a must;
Proficient in MS Office;
Basic accounting knowledge;
Excellent analytical, organizational and time-management skills;
Problem-solving abilities;
Ability to work independently and handle multiple projects;
Good communication skills;
Great attention to detail;
Good business ethics;
