Vacancy description

Amber Group entered the Georgian hospitality sector by opening the following hotels: Gudauri Lodge, Ramada Encore Tbilisi and Ramada Tbilisi.

Title: Reservations Agent
Location: Tbilisi
Reports to: Reservations and Revenue Manager

Main duties:

  • To accept the reservation either in writing or over the phone
  • To post all incoming reservations into the computer
  • To keep good contact with all travel agencies, take the weekly name list from them in time and post them into the computer and filing them to the corresponding file
  • To properly fill guest statistics, all reservation reports and daily statistics
  • To compare each final arrival list of the following day for the last time with reservation forms and correspondences (whether room allocation has been properly done, comparing with each other agency name, arrival/departure dates, amount of PAX, room types, special notes) and take the necessary steps to avoid any discrepancies
  • To check the departure list of the following days, list the departure times as informed by agencies
  • To collaborate well with other F&B associates & hotel departments.
  • Publicize the event by sending emails to the email list reminding all of the event, time, place, any special instructions, encourage registration, forward forms, etc.
  • To ensure that all payments for events are dealt with within the guidelines.
  • In case of cancellations, to ensure all pre-registered delegate for meetings have been contacted/refunded as applicable.
  • To handle requests for rooms received by phone and e-mail. To ensure that all staff are competent to carry out their duties and are adequately trained in the Company Guest Service standards.
Requirements:

  • Bachelor`s Degree in Business Administration, Hospitality Management or any other related field.
  • Fluent English and Russian is required.
  • The right candidate should have an open and creative mind and be an excellent communicator
  • Ability to prioritize and organize work assignments.
  • High sense of responsibility and punctuality
  • Strong managerial, communication and interpersonal skills
  • Self-motivated, smart, positive and energetic
  • Detail oriented, able to work and make decisions independently
